Who I Am

I am a self-employed, sole‑trader osteopath providing osteopathy, reiki, and reflexology from my home‑based clinic in Royston, Specialist Dental Partners in Thriplow and via home visits. If you have any questions about how your information is used, you can contact me directly by phone or email.

The Information I Collect:

To provide safe and effective care, I collect:

  • Your name and contact details

  • Your medical history and treatment notes

  • Appointment information

  • Messages you send by email, text, or WhatsApp

  • Exercise plans created through Rehab My Patient

  • Payment information processed securely through SumUp

  • Insurance claim information submitted through Healthcode

  • Letters or reports I create for you or your GP using Microsoft Word

I only collect information that is necessary for your care. At Thriplow, I use Dentally clinic software to store your details and notes, and this is covered by their GDPR policy.

Why I Collect Your Information:

I use your information to:

  • Assess and treat you safely

  • Keep accurate clinical notes

  • Send appointment confirmations and reminders

  • Provide exercise plans

  • Process payments

  • Create letters or reports when needed

  • Submit insurance claims

  • Meet legal and professional requirements

I do not use your information for marketing unless you give explicit consent.

How Your Information Is Stored:

  • Paper notes and my paper diary are kept securely in a locked cabinet.

  • Electronic information (emails, WhatsApp messages, Word documents, exercise plans) is stored on password‑protected devices.

  • Payment details are handled securely by SumUp — I do not store your card information.

  • Insurance claims are submitted through Healthcode, which securely processes the required information.

Only I have access to your records.

Sharing Your Information:

I will only share your information when:

  • You give consent (for example, to write to your GP)

  • It is required for an insurance claim

  • I am legally required to do so (rare situations such as safeguarding)

I never sell your information or share it for marketing.

How Long Your Information Is Kept:

  • Adults: 8 years after your last appointment

  • Children: until age 25

After this time, your records are securely destroyed.

Your Rights:

You have the right to:

  • See the information I hold about you

  • Ask for corrections

  • Ask for deletion (where legally possible)

  • Withdraw consent for optional communications

  • Raise concerns with the Information Commissioner’s Office (ICO)
